Privacy Policy
1. Introduction and Scope
This Privacy Policy explains how Gracie Barra Seminole ("Gracie Barra Seminole," "we," "us," or "our") collects, uses, stores, shares, and protects personal information. It applies to our website at gbseminole.pages.dev and to the AI chat assistant available on that website (collectively, the "Site").
Gracie Barra Seminole is a Brazilian jiu-jitsu and martial-arts academy located in Longwood, Florida, United States. This policy covers personal information of website visitors and of individuals who message us through the AI chat assistant on the Site.
Our website and AI chat assistant are designed, built, and operated for us by AiUpLyft, an AI-services provider, who acts as our service provider in handling information submitted through the Site on our behalf.
2. Who We Are and How to Contact Us
Gracie Barra Seminole is the entity responsible for the personal information described in this policy.
- Business: Gracie Barra Seminole
- Address: 1060 West State Road 434, Longwood, FL 32750
- Privacy and general contact: gbseminole@gmail.com
If you have a question, a request about your personal information, or a privacy concern, email us at gbseminole@gmail.com and we will respond as described in Section 7 (Your Privacy Rights).
3. The Personal Information We Collect
We collect only what we need to operate our Site, respond to your messages, and maintain accurate records.
3.1 Information you provide through the AI chat assistant
When you use the AI chat assistant on the Site, we collect and store the full content of your conversation — the messages you send (including any name, email address, phone number, or other details you choose to type) and the assistant’s responses. These conversation transcripts are saved in a secure database operated by our service provider AiUpLyft and may be relayed to our team through Telegram (see Section 5) so we can answer your questions, provide information about our classes, programs, and schedule, follow up with you, and keep ordinary business records. We retain transcripts for the period in Section 9. We do not sell this information or use it for advertising profiling.
3.2 Information collected automatically
When you visit the Site, limited technical information may be handled by our hosting and network-security provider to deliver and protect the website, such as IP address and basic request information used to serve pages and guard against abuse. See Section 6 (Cookies and Analytics).
3.3 Information you provide through the contact or booking form
When you submit an inquiry or request a free trial through the contact form on the Site, we collect the information you choose to provide, which may include your first and last name, email address, phone number, the program you are interested in, and any message you enter. We use this information to respond to your inquiry, arrange your free trial class, and communicate with you about your request. We do not use this information for advertising or sell it to third parties.
3.4 Information you provide to book a class or appointment
When you book a class, trial, or appointment through the Site (including through the AI chat assistant or a booking form), we collect the information needed to schedule and manage it: the student’s first name (and, for youth programs, an age or age range and the parent or guardian’s name), an email address and/or phone number, the program or class selected, and the requested date and time, plus any note you add. We use this information to schedule, confirm, remind you about, and manage your appointment, to follow up about your visit, and to keep ordinary business records. We do not sell this information or use it for advertising profiling. Booking is a request; we will confirm availability with you, and a submitted booking is not a guaranteed reservation until we confirm it.
3.5 Information you provide through the private-session booking flow
If you book a private session through our in-chat booking flow, we collect a limited set of information needed to schedule and run the session. From the adult who makes the booking, we collect your name, email address, and phone number so we can confirm and manage the booking. If the session is for a participant under 18, we collect only that participant's first name and an age range — we do not ask for a minor's last name, contact details, or other personal information to book.
This is a $0 simulation. The booking flow is currently a practice (simulation) checkout: no real card is used and we do not collect or store any payment-card or financial information through it. Any dollar amount shown is illustrative only and no money is collected, held, or transferred.
How we use this information. We use booking information only to schedule, confirm, and manage your private session and to contact you about that booking — for example, to send a confirmation or notify you of a schedule change. We use it on a transactional basis only: we do not use it for marketing, and this service does not send automated or pre-recorded marketing calls or texts. We do not sell this information and we do not share it for cross-context behavioral advertising.
Parental consent for minor information. A booking that includes a participant under 18 may be made only by that minor's parent or legal guardian, who must affirmatively confirm their authority and consent to the limited collection described above before the booking is completed. We record that consent with the booking. A parent or guardian may ask us to access, correct, or delete a minor's information at any time using the contact below.
How long we keep it. We retain private-session booking information under the schedule in Section 9 (How Long We Keep Information), and then delete or anonymize it, except where a longer period is required or permitted by law. You can ask us to access, correct, or delete this information at any time, and exercise your other privacy rights as described in Section 7 (Your Privacy Rights), by emailing gbseminole@gmail.com.
4. Why We Collect Personal Information (Purposes)
We use the personal information described above for the following purposes:
- To respond to you — to answer questions submitted through the AI chat assistant, provide information about our academy, and follow up on your requests.
- To operate and secure the Site — to host, maintain, monitor, and protect the website and the AI chat assistant, and to prevent abuse.
- To keep ordinary business records — to maintain reasonable records of inquiries and to comply with applicable law.
We do not sell your personal information, and we do not use the content of your chat messages for advertising profiling.
5. How We Share Personal Information
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising, as those terms are defined under applicable privacy laws. We share personal information only:
- With our service provider — with AiUpLyft, which designs and operates the website and AI chat assistant on our behalf, and with the hosting and network-security provider that delivers the Site. AiUpLyft’s staff may access information submitted through the Site to provide technical support, maintain the service, and carry out the purposes described in this policy. These providers may process the information only to perform services for us.
- With our staff, via Telegram — messages you send through the AI chat assistant, your saved conversation transcripts, and the information you submit to book a class or appointment may be relayed to Gracie Barra Seminole’s team through Telegram, a third-party messaging service, and processed through automated assistant (“bot”) workflows operated by AiUpLyft on our behalf, so our team can confirm, schedule, remind you about, and follow up on your appointment. Telegram’s own privacy practices apply to information it handles on its platform. We do not control, and are not responsible for, Telegram’s processing of information on its own systems.
- For legal and protection purposes — when we believe in good faith that disclosure is necessary to comply with applicable law or legal process, to enforce our terms, or to protect the rights, property, or safety of Gracie Barra Seminole or others.
- In a business transfer — in connection with a merger, acquisition, financing, or sale of all or part of our business, subject to this policy or a successor policy.
6. Cookies and Analytics
We aim to keep the Site privacy-friendly.
- No website analytics currently in use. We do not currently run website-analytics tracking on the Site. If we add analytics in the future, we will use a privacy-focused, cookieless tool that measures aggregate traffic without tracking cookies and without building advertising profiles, and we will update this policy.
- Strictly necessary cookies. Our hosting and network-security provider may set a small number of strictly necessary cookies used only to operate and secure the Site — for example, to distinguish automated traffic from human visitors. These cookies are not used for advertising.
- No advertising or cross-site tracking cookies. We do not use the Site to serve targeted advertising or to track you across other websites.
Most browsers let you control or block cookies through their settings. Blocking strictly necessary cookies may affect how parts of the Site function.
7. Your Privacy Rights
Depending on where you live and the law that applies to you, you may have rights regarding your personal information. We extend the core of these rights — access, deletion, and correction — to all individuals as a baseline.
- Right to know / access — to request the categories and specific pieces of personal information we have collected about you.
- Right to delete — to request that we delete personal information we have collected from you, subject to legal exceptions.
- Right to correct — to request that we correct inaccurate personal information we maintain about you.
- Right to opt out of sale or sharing — we do not sell or share personal information for cross-context behavioral advertising, so there is nothing to opt out of; if this ever changes, we will update this policy and provide an opt-out mechanism.
- Right to non-discrimination — we will not discriminate against you for exercising any of these rights.
How to exercise your rights. Email us at gbseminole@gmail.com with enough detail for us to understand and respond to your request. For your protection, we will take reasonable steps to verify your identity before fulfilling a request. There is no charge to make a request, although we may decline or charge a reasonable fee for requests that are excessive, repetitive, or manifestly unfounded, as permitted by law. If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, may provide the rights described above; we do not sell or share California residents' personal information for cross-context behavioral advertising.
8. AI Chat Assistant
The chat assistant on the Site uses artificial intelligence (AI). When you use it, you are communicating with an automated system, not a person.
Disclosure. The assistant identifies itself as an AI at the outset of an interaction. If you are unsure whether you are interacting with a person or an AI system, you may ask, and the assistant will tell you. This is consistent with California's bot-disclosure law (Cal. Bus. & Prof. Code § 17940 et seq.), the Utah Artificial Intelligence Policy Act, and similar state laws.
Accuracy and limitations. AI-generated responses can be inaccurate, incomplete, or outdated. They are provided for general informational purposes only and are not professional advice. For class schedules, pricing, enrollment, medical or fitness suitability, or any important decision, please confirm with us directly before relying on a response.
Data used and stored by the assistant. The messages you send to the assistant, together with the assistant’s responses, are stored as a conversation transcript for the period described in Section 9 (How Long We Keep Information) to operate the service, respond to you, and maintain business records, and may be shared as described in Section 5. Please do not enter sensitive information (for example, government-ID, financial-account, or health details) into the chat. We do not sell this information.
8A. Phone Communications and TCPA Notice
Transactional contact. When you provide a phone number through a booking or inquiry form and consent to transactional contact (as described in the booking or contact form notice), we or our service provider may use that number to send you appointment confirmations, scheduling information, reminders, and follow-up messages related to the booking you submitted. Standard message and data rates may apply to any text messages. You may opt out of text messages at any time by replying STOP to a message from us, or by emailing us at gbseminole@gmail.com.
Marketing contact. We will send you marketing or promotional text messages or calls only if you separately opt in through the marketing consent checkbox on the booking or contact form. You may revoke that consent at any time by replying STOP or emailing us.
Automated systems. We do not currently use automated dialing systems or pre-recorded message systems for outbound calls or texts. If we add such systems, we will provide the disclosures required by the Telephone Consumer Protection Act (TCPA) and applicable state law before activating them.
8B. Website Forms, Booking, and Marketing Communications
What we collect through our contact form and booking flows. When you submit the contact form on our Site, we collect the first name, last name, email address, phone number, program interest, and message you provide. When you book a class or private session through our AI chat assistant or booking form, we collect the information needed to schedule it -- including your name, email address, and/or phone number, and the program, date, and time you have chosen. For a booking that involves a participant under 18, a parent or legal guardian must complete the booking on the minor's behalf. We collect only the minor's first name and an age range (for example, 3-5, 6-9, 10-12, 13-15, or 16-17) so we can place the child in the right program and prepare for class. We do not collect a minor's last name, email address, phone number, or any other contact or personal details beyond those two items.
Why we collect it and what we do with it. We use form and booking information to respond to your inquiry, schedule and confirm your appointment, send you booking confirmations and scheduling updates, and maintain ordinary business records. We do not sell this information or use it for advertising profiling.
Email marketing communications. We send you marketing emails -- such as class schedules, news, and promotions -- only if you check the optional email opt-in box on the contact form or booking card. Checking that box is not required to submit the form or complete a booking. You may unsubscribe from marketing emails at any time by clicking the unsubscribe link in any marketing email we send.
SMS and phone marketing communications. We send you marketing or promotional SMS text messages or calls only if you check the separate, optional SMS/phone consent checkbox. That consent is not a condition of any purchase, class booking, or inquiry submission. If you consent, you may opt out at any time by replying STOP to any text message we send. Message and data rates may apply. Message frequency varies. For help, reply HELP to any of our text messages or contact us at gbseminole@gmail.com. See also Section 8A (Phone Communications and TCPA Notice) for additional details.
Tiered retention -- plain language. We keep the information from forms and booking flows for the following periods before deleting or anonymizing it:
- Contact form inquiries and marketing consent records -- up to 24 months from submission, for follow-up and ordinary business records.
- Class and appointment booking records -- up to 24 months from the date of the booking or appointment.
- Minor information (first name + age range) -- only as long as reasonably needed for the booking and any resulting enrollment, and then deleted or anonymized. We do not retain a minor's information indefinitely.
- Consent records (opt-in logs) -- for as long as we maintain the marketing relationship, and for a reasonable period after you opt out, to evidence your consent and our compliance.
Children -- our approach to minor data from forms and bookings. Our Site and its forms are directed to parents and adults, not to children. When a booking or inquiry involves a participant under 18: we collect the minimum information needed (minor's first name and age range, provided by the parent or guardian); we never send marketing emails, texts, or calls to a minor; we never share a minor's information for third-party advertising or marketing; and we delete or anonymize it as described above. Parents and legal guardians may request access to, correction of, or deletion of a minor's information at any time (see below).
Service providers we use for these communications. We may use third-party email and SMS platforms to deliver marketing and transactional messages on our behalf. AiUpLyft, which designs and operates our website and booking tools, acts as our primary service provider and may process information submitted through these forms in that capacity. Any third-party messaging platform we use is permitted to process your information only to perform services for us, not for their own marketing. We do not currently disclose the names of every platform we use, but will do so on request.
Access, correction, and deletion. You may request access to, correction of, or deletion of personal information submitted through any form or booking flow at any time. To exercise these rights, contact us by email or post at:
- Email: gbseminole@gmail.com
- Post: Gracie Barra Seminole, 1060 West State Road 434, Longwood, FL 32750, United States
We will verify your identity and respond within a reasonable time.
AI-assistant note. When you use our AI chat assistant, you are communicating with an automated system, not a live person. The assistant discloses this at the outset of every interaction and will tell you it is automated if you ask. Any booking or consent collected through the chat assistant's booking card is captured by a real form and processed as described in this section and in Sections 3.4 and 3.5. See also Section 8 (AI Chat Assistant).
9. How Long We Keep Information
We keep personal information only for as long as it is needed for the purposes described in this policy, or as required or permitted by law, and then delete or anonymize it. Our typical retention periods are:
- AI chat messages and conversation transcripts — up to 12 months from the date of the conversation, after which they are deleted or anonymized.
- Contact and booking form inquiries — up to 2 years from the date of submission for ordinary business records and follow-up purposes.
- Appointment and class-booking records — up to 24 months from the date of the appointment, for scheduling, follow-up, and ordinary business records, after which they are deleted or anonymized. Information identifying a minor is kept only as long as reasonably necessary for the booking and any resulting enrollment relationship and is then deleted or anonymized; we do not retain a minor’s information indefinitely.
- Technical and security logs (such as IP address and request logs) — up to 90 days, retained by our hosting and network-security provider for security and abuse-prevention purposes.
These periods may be extended where required by law — for example, to respond to a legal process or regulatory inquiry — or shortened upon a verified deletion request. You may request deletion of your personal information at any time by contacting us at gbseminole@gmail.com, subject to applicable legal exceptions and ordinary business-records needs.
10. Data Security
We and our service providers use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, alteration, and disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Children's Privacy and Youth Class Bookings
Our Site and its booking tools are directed to parents and adults, not to children. We offer classes for children, and a parent or legal guardian may book a youth class on a child’s behalf.
Bookings for minors must be made by a parent or legal guardian. When you book a youth class, you confirm that you are the parent or legal guardian of the student, that you are at least 18 years old, and that you consent to our collecting and using the student’s information for that booking. We ask only for the limited information needed to schedule and manage the class (see Section 3.4).
We do not knowingly let children under 13 submit their own personal information through the chat assistant or any form, and our booking tools are not designed for a child to complete unassisted. If we learn that a child under 13 provided personal information to us directly without a parent’s or guardian’s involvement, we will delete it promptly. Consistent with the Children’s Online Privacy Protection Act (COPPA) and its 2025 amendments, we keep a minor’s information only as long as reasonably necessary for the booking and any resulting enrollment, do not use a minor’s information for targeted advertising, do not disclose it to third parties for their own marketing, and maintain reasonable safeguards to protect it.
Parents and guardians may request access to, correction of, or deletion of their child’s information at any time by emailing gbseminole@gmail.com; we will verify the request and respond within a reasonable time.
12. Third-Party Links
The Site may contain links to third-party websites or services that we do not operate or control. This policy does not apply to those third parties, and we are not responsible for their privacy practices.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Your continued use of the Site after an update means you acknowledge the updated policy.
14. Contact Us
If you have any questions, requests, or concerns about this Privacy Policy or our handling of personal information, please contact us:
